Define the work you need a Dalian freight forwarder to coordinate

A useful inquiry states where the requested service begins and ends. Do you need collection from the supplier, an international transport arrangement, destination delivery, or a review of one part of the movement?

Provide the physical cargo location and the requested endpoint, not just “Dalian to overseas.” A supplier's business address may differ from the place where the packed goods are waiting. Identify the collection contact and explain whether loading is already arranged.

If another party has booked part of the shipment, describe that arrangement and where you expect BAT's involvement to begin. This helps identify gaps or overlapping work before a quotation is prepared. Do not assume that a collection address also confirms the international departure gateway.

Build a shipment record before comparing quotations

Use the same cargo information for each proposal. A quotation based on estimated cartons cannot be compared directly with one based on final pallet measurements without first reconciling the differences.

Prepare a record containing:

• Product name, model and battery chemistry.
• Whether batteries are standalone, packed with equipment or installed in products.
• Nominal voltage, capacity and the available watt-hour rating.
• Quantity, outer package dimensions and gross weights.
• Cargo condition, ready date and available supporting documents.
• Actual pickup address, destination and requested delivery scope.

Identify estimates and missing information clearly. Disclose used, returned, prototype, damaged, defective or recalled goods rather than describing every consignment simply as “batteries.” Providing this information starts an assessment; it does not establish acceptance.

Separate included, excluded and unconfirmed services

Before comparing totals, ask what each quotation covers. Record each activity as included, excluded, pending confirmation or arranged by another party. Where another party is responsible, name that party and the relevant handover point.

The checklist below is a discussion aid, not a list of services automatically included in a BAT quotation. Complete the status column against the actual proposal.

Illustrative comparison—not a customer case: one proposal ends at a destination port, while another includes delivery to a business address. Their headline totals describe different scopes. Ask what remains to be arranged under the first proposal before deciding which better meets your needs.

An unpriced or unmentioned activity should be clarified, not silently treated as included or free.

Identify the operational contact at each handoff

Separate the movement of the goods from the information needed to support it. Identify who can authorize cargo release, who supplies the shipment records and who confirms acceptance at the next stage.

For each handoff, agree the responsible contact, the cargo record being used and the point where the next party takes over. If instructions conflict, resolve them with the responsible parties before dispatch rather than leaving the driver or receiving team to interpret them.

For forwarding partners requesting only one leg, specify the exact start and end points of that request. Explain what your team or destination agent will handle and what information they need from the proposed operating party. A review of one leg should not be understood as a commitment to manage the entire shipment.

Match the proposed transport option to the same cargo record

Transport options should be assessed against the actual battery configuration, packing and destination. Use the same shipment record and delivery requirement when requesting alternatives.

For battery shipping by sea, clarify the proposed container or consolidation arrangement and the handling included at each end. Neither option should be assumed available before the cargo is reviewed.

For an air option, state the required arrival date alongside the battery and package information. A shorter requested timeline does not by itself establish an acceptable service or guaranteed arrival date.

A battery courier review can assess an address-level delivery option for the actual consignment. Do not rely on the carrier name or the acceptance of an earlier shipment as confirmation for the next one.

Ask each provider to identify the planned handover points in its quotation.

Resolve destination charges and delivery responsibilities

Share the agreed Incoterm and named place, then confirm the specific inclusions and exclusions in the quotation. Broad wording such as “door-to-door” should not replace a clear statement of the services and charges being quoted.

Identify the party responsible for import arrangements and the final receiving contact. Ask which destination handling, customs-related services, duties, taxes and delivery charges are included, excluded or still awaiting confirmation. Do not assume that BAT or a nominated transport party takes on an importer role.

Recheck the scope when the shipment changes

Send revised information when the packing, quantity, dimensions, battery configuration, pickup address, destination or ready date changes. Identify the quotation or earlier record that the update replaces.

A change may affect more than the freight line. For example, a revised delivery address also needs to be shared with the party arranging the final handoff. If another agent has already made arrangements, ask that party to confirm whether those arrangements still fit the updated shipment.

Before dispatch, make sure the latest cargo record, quotation and handover instructions describe the same consignment. Keep unresolved items visible so they are not mistaken for confirmed services.
