Confirm what is ready to leave the Dongguan factory

“Production complete” and “ready for collection” should be confirmed separately. Goods may still need the buyer’s release, final packing or measurements before a collection can be arranged. Ask the responsible factory contact to distinguish the production date from the date the packed cargo can leave.

Provide the actual dispatch address, including the town or district, building details and collection contact. Confirm whether the goods will leave the factory itself or another location. An address on the purchase order may not be the loading point.

Before requesting pickup, establish:

• Which product lines and quantities are finished and available.
• Whether the buyer or another responsible party has authorized release.
• Whether final packing, weighing and measuring are complete.
• Who will load the vehicle and what access or appointment arrangements apply.
• When the release contact can hand over the goods and shipment records.

Factory quality checks and buyer approval remain with the parties responsible for them. A transport review does not replace those checks or authorize a factory to release an order.

Match each model and production batch to the shipment records

Connect each order line to the product that will physically move. Supply the equipment model, battery manufacturer and model, chemistry, nominal voltage, capacity and available Wh rating, quantity and condition. Explain whether batteries are shipped separately, packed alongside equipment or installed in it.

State whether the goods are new, used, returned, prototypes, damaged, defective or recalled.

Keep different models and batches identifiable in the packing information. If cartons contain more than one model, explain the contents rather than providing only an order total. Mark incomplete or provisional records so that they are not mistaken for final shipment data.

Illustrative planning example—not a customer case: a buyer requests a transport proposal using a sample unit’s battery specification. Before production finishes, the factory substitutes another battery model. Even if the product name and ordered quantity remain unchanged, the updated battery information and final packing need to be reviewed before collection is confirmed.

Turn the finished order into carton and pallet data

A unit count describes the purchase, but the transport proposal also needs the packed shipment. Ask the factory for units per carton, carton count, gross weight and external dimensions for each package type. If goods will be palletized, provide the final pallet count, gross weights and outside dimensions as well.

Separate product measurements from shipping-package measurements. State whether the quoted weight includes cartons, pallets and other packing materials. If the factory has not finished packing, label the figures as estimates and identify when confirmed measurements will be available.

Photographs can help connect package labels and contents to the packing list. Flag loose accessories, separately packed replacement batteries and any cartons that differ from the main batch. Do not assume that retail packaging alone establishes transport suitability; the packing arrangement needs assessment for the proposed movement.

Plan collection when batches become ready on different dates

If only part of an order is ready, provide a separate record for the released goods and the outstanding balance. State the available quantities, packing status and expected release date of each batch. Identify who can decide whether to wait or request an assessment of separate movements.

A split-shipment review should use the package data for each proposed dispatch, not the dimensions and weight of the entire order. Explain whether the commercial and packing documents will also be separated, and ask the responsible document preparer to confirm the arrangement.

Do not send goods to an intermediate receiving location before the receiving party has confirmed acceptance of the cargo and provided delivery instructions. Holding, combining or separately dispatching cargo requires its own assessment; none should be assumed to be included in the original quotation.

Choose the transport handoff from the actual cargo

A Dongguan collection address does not determine the export gateway. The proposal needs to connect the factory handover with the eligible transport option and the requested delivery endpoint.

Sea freight assessment

For larger batches or less time-sensitive orders, request a sea-freight assessment using the final packing and loading information. Any container or consolidation proposal remains subject to the cargo and receiving arrangements. See shipping batteries by sea.

Air freight assessment

Courier assessment

For samples, replacement items or compact shipments, a courier option can be reviewed against the actual contents, packing and delivery address. A previous shipment or familiar carrier name is not confirmation for the next batch. See lithium battery shipping by courier.

Specify whether the destination is a port, airport, business address or project site. Compare proposals using the same collection and delivery scope.

Assign document, loading and destination responsibilities

Identify who supplies the battery specifications, who prepares the commercial invoice and packing list, and who can explain discrepancies between them. Where supporting technical records are requested, they should correspond to the battery or product being shipped. Available records are a starting point for review, not an automatic acceptance confirmation.

Tell us the Incoterm and named place agreed between buyer and seller. Identify the factory release contact, loading party and the party responsible for providing export information. At destination, clarify who will handle import requirements and receive the shipment.

Update the quotation when the shipment changes

Keep the shipment record current after receiving a quotation. Notify us of changes to the battery model, quantity, carton dimensions, weight, pickup address, release date, loading requirements or delivery endpoint before arranging handover.

State what changed and send the replacement information clearly. For example, distinguish a revised packing list that replaces the earlier version from an additional batch that needs a separate assessment.

When comparing quotations, check which collection, handling, transport and destination activities are included, excluded or awaiting confirmation. If a factory delay changes the planned dispatch, ask for the proposal to be reviewed rather than treating the earlier schedule as a continuing commitment.
